Service:  Occasion Occasion was brought in to organise and manage the on-the-day coordination.

Peter (Senior Coordinator) met with the couple a week before their big day to finalise the timetable and take over many of the final week’s arrangements.  Following this meeting, he liaised with the church and all suppliers – including the marquee and pyrotechnics companies, caterers and band to give last minute changes and make sure everything was in place.  It’s amazing how much work can only take place in these final few days, but details such as the final list of guests and tweaking of timings need to be communicated to all involved.

On the morning of the Wedding Peter was joined by members of the Occasion Occasion team – Charlene, Neil and Phil.  They set out the furniture in the marquee, decorated the marquee with themed decorations – bunting, gingham table centres and laid the tables.  Outside, they decorated the formal gardens with twinkle lights in the trees and stage lamps for the first dance. Most venues only allow you on site on the day, so it is vital that you have a well-briefed team ready to start work as soon as is possible.

Peter welcomed the guests before the ceremony and gave out the Orders of Service.  When they were all settled he waited to welcome the bride and help her out of the Daimler, before leaving her in the safe hands of her father.  During the service, he drove back to the reception venue to ensure everything was ready for the reception and evening meal.  After the service, Neil handed out confetti, directed the guests to the marquee and then cleared the church of keepsakes.

The Reception was a busy time: Peter was MC, and welcomed guests whilst the team served Pimms, elderflower cordial and scones and cream in the formal gardens.  When the Wedding Party arrived, Peter organised and announced the receiving line.  Once the Reception was in full swing he moved on to the evening’s arrangements in the marquee, making sure the band were ready and checking the catering arrangements were running smoothly.

At the dinner, Peter became MC again, announcing bride and groom, the cutting of the cake, the first dance (accompanied by a display of fireworks as the newly-weds lit up the dance floor with their own display of pyrotechnics) and, finally, the departure of the happy couple.  Throughout the evening the Occasion Occasion team made sure that guests were happy, liaising with the catering team regarding timings, as well as managing the bar and evening buffet.  When all the guests were gone the team cleared the marquee of all rubbish before going home to bed for a well-deserved rest!
